Here’s a piece of advice: you should include a clear call to action in your email. But, you need to be careful about how you write your call to action, you don’t want to be too explicit or vague. Here are some simple call-to-action templates that you can use in your emails.

When you need a question to be answered

Template: Can you let me know [question]? I need an answer by [deadline] in order to [reason/result]. Thank you!

Example: Can you let me know if the client has responded with feedback yet? I need an answer by Friday in order to wrap up this deal. Thank you!

When you need feedback

Template: Please pass along your feedback on [what you need feedback on] via [where they should give feedback] no later than [the deadline]. Thanks so much!

Example: Please pass along your feedback on slides 10-14 of this presentation using the Google Doc I linked to in this email no later than Friday. Thanks so much!

Confirming a meeting

Template: Can we meet on [date] at [time] to discuss [topic]? Please let me know by [date] if that works for you. Thanks!

Example: Can we meet on Friday at 11 AM to discuss the website design? Please let me know by Wednesday if that works for you. Thanks!

When you’re sending an update or document

Template: Please review [what you’re sending[ before [date] and feel free to get in touch with me directly with any questions. Thank you!

Example: Please review the attached report highlighting this month’s attendance before 6th July and feel free to get in touch with me directly with any questions. Thank you!

When you need a response

Template: Please reply to this email with [what you need] by [date]. If i don’t hear from you by then, I will [what you’ll do]. Thanks!

Example: Please reply to this email with your RSVP by Thursday. If I don’t hear from you by then, I will assume you’re not attending the dinner. Thanks!

It can be awkward to be so explicit about what you need in your email, but no need to panic. Keep in mind that this level of clarity helps the recipient. You’re saving them the steps and added work of having to track down what you need them to do. Though it feels too assertive, most people will appreciate the transparency and directness.
